Assigning a Family Representative form in Sundial


VIDEO INSTRUCTIONS


  • In Sundial, select Core
  • Navigate to the Content menu and then go down to School forms
  • Find the desired form in the list (ie. 21-22 Family Representative)
  • Click on Settings 
  • Select Recipients Regarding from the list on the left
  • Click on the +Add Recipients button
  • Search for the student using last name (can limit search to the role of student from the drop down menu if you have a common name) - press enter
  • From the list of students, select the correct one by click on the box to the right of their name - a check mark will show.
  • Click the red Add Currently Selected button
  • For this particular form, assigning the form will trigger an email to the parents letting them know that a form is available in Sundial for a parent to complete.



Creating an account in Sundial for a Family Representative

Find the completed form:

  • In Sundial, select Core
  • Navigate to the Content menu and then go down to School forms
  • Find the desired form in the list (ie. 21-22 Family Representative)
  • On that same line where the form is, select x of x (ie. 3 of 4) under the submission column
  • If you're doing more than one you can select Print All or you can navigate to the individual child/submission and click Print
  • A new window/tab will open and the completed form will be generated/viewable. You can save that pdf (recommended) or print it to reference it later.


Create the account:

  • In Sundial, select Core
  • Under People Finder, type in and find the name of the student to whom the form pertains
  • On the student's Contact Card find the section called Relationships
  • Click the +Add relationship button
  • From the drop-down menu for "I am adding a" select consultant
  • Keep "Give Parental Access" checked and leave the others unchecked.
  • Under "This Person is" choose the radio button for A New User
  • Complete the information for First Name, Last Name, Email
  • On the Access tab for the consultant record, find Log In Information on the right and click the "Connect to Blackbaud ID" box. 
  • The email address should be pre-filled, select the radio button for "Would you like to send an email invitation?" and then click the red Save button
  • Once the account has been created, go to the contact card for the new consultant and update address and telephone information with the information provided by the parent.
  • Notify the consultant via email (cc the parents) and share the link to Sundial and explain that the consultant will have receive an invitation to connect their account from Blackbaud.

When a form is assigned, the parent will receive an email informing them that the form is available and they need to sign into Sundial to complete the form.


They will fill out the form and submit it. This will trigger an email to certain members in the Pomfret School community (as of this writing, Jackie Deojay, Anouk de Ruiter, and Christine Lamothe will all get the email).
